Property Coordinator
Responsibilities and Duties
Physical Management Duties: daily oversight to ensure the property is always in pristine condition.
- Property Inspections:
- Spot check Building Engineer’s life safety and vacant space inspections
- Daily M-F site visits to spot-check cleanliness, landscaping, trash, glass, etc.
- Monthly janitorial inspection and walk-through with janitorial supervisor
- Monthly full property detailed building inspection
- Weekly lighting inspection – common areas, storefronts, signage, and parking lots (assistance from engineers and security)
- Review Work Order Reports daily
- Follow up with Building Engineers to push them through and help prioritize
- Identify trends in the Work Orders
- Elevate Work Orders issues to Property Manager
- Coordinate and Oversight of third-party vendor oversight
- Perform fire drills as required
- Support Building Engineers as necessary to coordinate vendors for immediate service for minor repairs (plumbing, roof, etc.)
- Perform move-out walk-through with tenant when they are vacating the property; prepare appropriate move-out form for tenant’s signature
Administrative Duties:
- Order tenant signage for new and existing tenants
- Prepare estoppels, standard forms of agreement, and service contracts
- Respond to tenant calls
- File incident reports with the insurance carrier for any accidents or incidents at the property
- Update building policies and procedures as needed
- Collect tenant insurance certificates and HVAC policies (if applicable)
- Maintain Billable Repair Schedule
- Prepare and update tenants handbook
- Fobs/Parking Stickers
- Code and deliver FOBs to tenants
- Input employee parking details and provide sticker
- Annual audit and confirmation of FOBs/parking stickers with tenants
Tenant Relation Duties:
- Meet all tenants and develop positive rapport
- Perform “drop-in” visits when inspecting the property
- Respond to tenant requests and concerns in a timely and professional manner
- Monitor tenant improvements for new tenants, perform walk-through with tenant at completion of improvements prior to turnover of space
- Perform move-out walk-through with tenant when they are vacating the property; prepare appropriate move-out form for tenant’s signature
- Notify tenants of upcoming work or inspections in the building
Marketing/Event Coordination:
- Orchestrate monthly tenant event
- Coordinate and attend special projects and events.
