Administrative and Marketing Assistant

Job Summary

We are seeking a proactive and detail-oriented Administrative and Marketing Assistant to join our growing commercial real estate firm. The ideal candidate will provide administrative support, assist with marketing initiatives, and help manage day-to-day operations to ensure the office runs smoothly. This role requires excellent organizational skills, a strong ability to multitask, and a team player that can adapt to changing priorities and ability to work in a fast-paced environment.

Responsibilities and Duties

Administrative Support

  • Manage office operations including answering phones, scheduling meetings, maintaining  office supplies, and coordinating with vendors. 
  • Prepare and distribute internal and external documents such as letters, reports, proposals,  and presentations. 
  • Support real estate advisors by organizing and managing property documents, contracts,  and lease agreements. 
  • Maintain and update the CRM system, ensuring accurate and timely input of client  information and transaction records. 
  • Assist with property listings by gathering, verifying, and uploading data onto multiple listing  platforms. 
  • Coordinate logistics for meetings, events, and client tours, including scheduling and  material preparation. 
  • Perform general office duties such as filing, mail distribution, and data entry. Marketing Support
  • Assist in the creation, design, and distribution of marketing materials such as brochures,  flyers, email campaigns, social media content, and property listings. 
  • Maintain and update company website with relevant content, including new property  listings and market news. 
  • Coordinate and manage email marketing campaigns to promote properties and firm’s services.
  • Work with the team to organize and execute marketing events, open houses, and  networking functions. 
  • Conduct market research and analysis to support property marketing strategies and keep  the team informed of market trends. 
  • Assist in developing proposals and presentations for client meetings and pitches. Support SEO efforts and digital marketing strategies to enhance the firm’s online presence. Qualifications: 
  • Associate's or Bachelor’s degree in marketing, business administration, or a related field. 1-2 years of administrative and/or marketing experience 
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience with CRM systems and marketing tools (e.g., Mailchimp, Canva, Adobe Creative  Suite) is a plus. 
  • Excellent verbal and written communication skills. 
  • Ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously. High attention to detail and accuracy in all tasks. 
  • Strong organizational and time management skills.
